GENERAL PURPOSE:

 

The Purchasing Clerk - International is primarily responsible for the efficient and proactive execution of Purchasing functions for International suppliers, including Purchase Order creation, placement, expediting, inbound inventory tracking, administrative tasks and reporting. Works closely with the ERP system and various Excel reports.

 

ESSENTIAL DUTIES AND Responsibilities:

 

Functional Duties and Responsibilities:

 

  • Collate international purchase orders and purchase requisitions to order materials, goods and supplies
  • Interact with International suppliers on a day to day basis
  • Confirm bookings with Logistics companies
  • Maintain shipping Schedules and perform Purchase Order maintenance
  • Expedite open Purchase Orders and summarize status
  • Investigate price discrepancies as requested and document corrective action.  Follows through to resolution.
  • Assist in reporting (metrics, usage, audit, KPI, etc.), for vendor management scorecards
  • Assist in documentation for purchasing SOPs (Standard Operating Procedures)
  • Evaluate and analyze purchasing trend to help identify forecasting demand
  • Meet all deadlines as established in coordination with the manager or requester
  • Ensure that PO invoices are requested to Accounting for payment
  • Add new containers to the container status report, maintain Container status report and coordinate priority
  • Maintain New Item tracker and Direct container program tracker
  • Maintain the ordering, receiving, and closing of Direct container programs
  • Coordinate warehouse transfers for samples, Trade Shows and other requests

 

OTHER DUTIES AND RESPONSIBILITIES:

 

  • Assists other team members and cross training with Domestic Purchasing Clerk.
  • Identifies achievable goals and methods of handling purchasing/customer requirements/requests with team members.
  • Demonstrates strong interpersonal skills and teamwork
  • Works on projects and tasks requested by the department manager
  • Maintains and update the product information in systems including items, descriptions, pricing, etc.

 

SKILLS AND ABILITIES REQUIRED:

 

  • Minimum 35 wpm typing

 

 

  • Excellent oral and written communication skills, advanced listening and organized
  • Ability to interact credibly with other departments
  • Proactive responsiveness to customer requests
  • Ability to work within a team setting – will need to work cross-functionally and interact with internal stakeholders and overseas vendors
  • High level of organization, detail and ability to juggle multiple and complex projects to meet deadlines

 

EDUCATION AND EXPERIENCE REQUIRED:

 

  • Work History Requirements:
    • High School diploma
    • Some purchasing work experience and a broad knowledge of the principles and techniques of purchasing preferred

 

Computer equipment and level of software requirements:

 

  • Intermediate Level of Excel, Word, and Outlook
  • Experience with ERP systems, with SAGE preferred

TRAINING REQUIREMENTS:

 

  • Proficiency with Microsoft products
