Moultrie is currently looking for an Executive Assistant who is highly organized and proactive. The Executive Assistant will provide comprehensive administrative support to the General Manager and senior leadership team on site in Birmingham. The ideal candidate will excel in a dynamic environment, demonstrating exceptional multitasking abilities, strong organizational skills, and a keen attention to detail. In addition to traditional executive support duties, this role will include responsibilities related to facilities management of Moultrie’s Birmingham headquarters, ensuring a productive and well-maintained work environment.
Responsibilities
Executive Support:
- Provide high-level administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements for the General Manager and Senior Leadership team.
- Organize and prioritize tasks to meet deadlines and handle multiple projects simultaneously.
- Maintain confidentiality and handle sensitive information with discretion.
- Organize and coordinate company events, meetings, and conferences.
- Manage incoming mail and package deliveries.
- Identify inefficiencies in in administrative processes and propose improvements.
- Assist in managing special projects and initiatives as directed by the General Manager.
Facilities Management:
- Oversee day-to-day operations of office facilities, including coordinating with vendors and service providers.
- Conduct regular inspections of the office to identify and address maintenance needs or issues.
- Assist in orienting new employees to the office and facilities.
- Manage office supplies budget and inventory, including ordering, stocking, and maintaining relationships with suppliers.
- Ensure that the office environment complies with health and safety regulations.
- Coordinate with building maintenance team on issues related to building systems, such as HVAC, lighting, and security.
Qualifications
- 5+ years of experience as an Executive Assistant, preferably in a fast-paced, high-growth environment.
- Proven ability to support senior executives with discretion, professionalism, and efficiency.
- Excellent organizational, time-management, and problem-solving skills.
- Strong written and verbal communication skills.
- High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- A proactive, solution-oriented mindset with a keen attention to detail.
- Experience with facilities management and vendor coordination preferred.
- Familiarity with office health and safety regulations and best practices.
Physical Requirements
- Ability to lift and carry office supplies and equipment (up to 50lbs).
- Ability to perform tasks that involve sitting, standing, and moving around the office
