Job Summary

Provides comprehensive administrative support to the Human Resources Director on all personnel-related matters and assists with a wide range of HR functions including recruitment, onboarding, employee records management, employee engagement and compliance.

Serves as the primary onsite liaison for temporary staffing agencies, coordinating daily needs with or without an onsite representative. Responsibilities include acting as the main point of contact between staffing partners and Vulcan Industries along with maintaining accurate record of temporary employees in Vulcan’s system.

Ensure all temporary employees complete and acknowledge new hire orientation. Maintain accurate and current attendance records for all personnel. Oversee and coordinate quarterly plant meetings, including organization of plant meals when required. Performs a variety of clerical and administrative duties as assigned by the Human Resources Director.

Job Responsibilities

  • Respond timely to employees’ inquiries about HR-related issues and topics.
  • Investigate employee issues in a timely manner with assistance from HR Director when needed; make recommendations to resolve concerns or conflicts.
  • Escalate sensitive or critical issues to the HR Director as needed.
  • Provide recruitment support including preparing job postings, screening applications, phone interview and scheduling onsite interviews.
  • Collaborate with department managers to understand skills and competencies required for openings.
  • Implement all new hire orientation, onboarding and employee recognition programs.
  • Enter and update employee information as required in HRIS (Success Factors)
  • Understand company policies and provide guidance and support to employees or managers who have questions about policies.
  • Monitor employee morale, engagement, and satisfaction through listening tours, surveys, and round tables.
  • Coordinate employee events and make recommendations/support employee engagement initiatives.
  • Reviews, tracks, and documents compliance with mandatory and non-mandatory training which may include safety training, anti-harassment training and IT training.
  • Manage and administer employee safety shoes and safety glasses allowance programs
  • Serve as liaison between VI and staffing agencies. Communicating needs as well as assisting with discipline.
  • Ensure employee data in systems (Success Factors & Global Shop) is accurate and up to date.
  • Provide assistance and participate in the processes involving internal and external partners (IT, benefits, payroll, LOA, and Worker’s Compensation)
  • Solely responsible for administering, communicating, and tracking leaves of absence.
  • Responsible for administering, communicating, and tracking attendance points.
  • Complete general office/administrative duties as required for the facility
  • Maintaining housekeeping in work area
  • Reporting to work regularly and on time.

Job Requirements

  • Associate or bachelor’s degree in human resources, Business or relevant field.
  • 1 – 2 years’ work experience as an HR Administrator, HR Assistant preferably in a manufacturing facility
  • Significant knowledge of general HR policies, procedures and labor legislation
  • Experience with HR software
  • Strong computer proficiency (MS Office applications & Google)
  • Excellent organizational skills, with an ability to prioritize workload and meet deadlines.
  • Sound decision making skills and problem-solving skills
  • Strong verbal and written communication skills.
  • Must be able to maintain highest level of confidentiality and work with all levels of the organization.
  • Ability to adapt to changes in the work environment, manage competing demands and able to deal with frequent change, delays, or unexpected events.
  • Demonstrated ability to work independently with minimal supervision and to successfully complete multiple tasks in required time frame.
  • Ability to proactively build strong trusting relationships with employees.
