EBSCO Health Executive Assistant, Strategic Projects

 

The EBSCO Health Executive Assistant, Strategic Projects will support EBSCO Health senior leadership with the highest quality administrative and project management support to maintain optimal efficiency of a growing editorial and product management team.

 

The Executive Assistant, Strategic Projects must be creative, proactive, and enjoy working in a mission, deadline, and results-driven environment. This individual will demonstrate good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant, Strategic Projects must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

 

Primary Responsibilities:

  • Complete a broad variety of administrative tasks for the EBSCO Health senior leadership including, but not limited to:
    • Managing calendars and appointments for Executive team
    • Preparing and editing communications, PowerPoint presentations and Excel datasets
    • Arranging complex and detailed travel plans
  • Support all administrative aspects of recruiting and hiring, including:
    • Scheduling interviews and arranging travel for candidates
    • Communication with candidates and internal stakeholders
    • Tracking candidate status
  • Support new hire onboarding, including but not limited to:
    • Submitting new hire paperwork
    • Introductory training and initial trouble-shooting assistance
  • Provides smooth communication between senior leadership and internal departments; demonstrating leadership to maintain credibility, trust and support
  • Effective communication with other EBSCO departments
  • Provides leadership to build relationships, and manages special projects, some of which may have organizational impact
  • Prioritizes conflicting needs; handles matters expeditiously and follows-through on projects to successful completion
  • Aid in DMP Summit planning and other event planning as needed

 

Required Qualifications

  • Bachelor's degree required
  • 7+ years administrative or customer service experience
  • 7+ years of experience using Microsoft Office including Outlook, Word, Excel, PowerPoint
  • 3+ years of experience supporting senior level team members
  • 5+ years of experience in an office environment
  • Able to work in office full-time, 5 days per week

  • Ability to complete tasks under deadlines and report on completed projects
  • Flexible to deal with rapid changes, reprioritized work, and incorporation of new tasks into schedule
  • Be dependable, flexible, and proactive
  • Ability to work as part of a team
  • Experience with Adobe Acrobat, Microsoft Publisher and Visio, SharePoint, WebEx and Skype for Business
  • Ability to manage multiple assignments
  • Comfortable with frequent interruptions
