Responsibilities:
- Acquire, establish, set up, and maintain a positive working relationship with various vendors
- Create documents and implement new procedures instrumental to departmental growth
- Run required reports and create reports upon request
- Maintain monthly purchasing receipts, track and balance through Concur, EBSCO’s Accounting Software Program
- Monitor, manipulate, and operate engineering work order system. Assist in creation of new features necessary for Alys Beach
- Complete invoicing, assign cost codes, and complete billing
- Maintain invoice tracking and documentation process
- Balance monthly engineering financials
- Keep and track department credit cards – require accountability for all purchases
- Correspond with homeowners on necessary matters
- Act as liaison to field personnel
- Coordinate department meetings and events
- Maintain the office vacation schedule and prepare other office schedules
- Adhere to and uphold company policy within department
- Dispatch orders to maintenance personnel through maintenance connect.
- Adhere to turn around times from maintenance orders to completion for maintenance employees
- Perform additional duties as needed
Education, Skills & Experience Required:
- High School Diploma or GED
- One year of experience in a Dispatch/Engineering environment
- Excellent verbal and written communication skills
- Experience in specialized software CONCUR and MAINTENANCE CONNECTION
- Experience using Microsoft Office
