Job Summary
An administrative coordinator is sought to manage communications between condo owners and contractors, ensuring smooth coordination in relation to buyer orientations, buyer punch lists, and buyer warranty and defect claims. This role plays a crucial part in facilitating positive relationships, maintaining organized records, and ensuring timely resolutions to buyer concerns

Job Responsibilities
- Turnover Binder Preparation: Liaise with the General Contractor to identify and compile key documents, warranties, and specifications to be included in the turnover binder for each project.
- Buyer Orientations: Coordinate and schedule buyer orientation sessions, prepare necessary documentation (Turnover Binders), and serve as a second point of contact for condo owners during the process.
- Buyer Punch Lists: Manage and maintain accurate records of buyer punch lists, track progress on repairs or adjustments, and communicate updates to both condo owners and contractors.
- Warranty and Defect Claims: Handle warranty claims and defect notifications from buyers, ensure they are properly documented, and liaise with contractors to resolve issues promptly and professionally.
- Lessons Learned Documentation: Reference and contribute to the “Lessons Learned” document to ensure continuous improvement in construction practices and administrative processes.
- Communication: Act as the secondary liaison between condo owners and contractors, ensuring clarity and efficiency in all correspondence and maintaining a professional tone.
- Record Keeping: Maintain detailed records of all interactions, claims, and resolutions to ensure transparency and accountability.
- Reporting: Provide regular status reports to Management on buyer-related issues and contractor resolutions.
Job Requirements
- Proven experience in administrative roles, preferably in real estate, property management, or construction industries.
- Strong organizational skills with the ability to manage multiple tasks and deadlines effectively.
- Excellent communication skills, both written and verbal, to interact professionally with condo owners, contractors, and other stakeholders.
- Proficiency in office software such as Microsoft Office Suite (Word, Excel, Outlook) and database management systems.
- Attention to detail to ensure accurate documentation.
- Ability to work collaboratively in a team environment while also managing responsibilities independently.
- A proactive approach to problem-solving to ensure prompt issue resolution and a commitment to providing exceptional service.
Essential Job Function
- 3 to 5 years experience in an advanced administrative position.
- Prefer Associates degree or Bachelors degree or equivalent experience.
- High school diploma required.
